Final Scholarship Selection

The final scholarship selection process is used to identify scholarship recipients after eligible applications have been independently reviewed and scored by Scholarship Board members.

Step 1 — Verify Completed Reviews

Before final selection, the Scholarship Board should confirm that:

  • Eligibility requirements have been verified.
  • Required application materials were reviewed.
  • Reviewer score sheets have been completed.
  • Any conflicts of interest or recusals have been documented.
  • Applications were evaluated using the approved criteria.

Step 2 — Review Scores

The Scholarship Board will review the completed scores and recommendations for eligible applicants.

Scores should be considered together with the approved criteria for the specific scholarship. The same standards should be applied consistently to all applicants competing for the same scholarship.

Step 3 — Board Discussion

The Scholarship Board may discuss the applicants and their submitted materials as necessary to make the final selection.

Discussions must remain confidential, objective, and limited to information relevant to the approved scholarship criteria.

Step 4 — Final Selection

The Scholarship Board will determine the recommended recipient for each scholarship through the organization's approved selection process.

Current scholarship awards include:

Louis Academic Award — $500
Vivian Impact Scholarship — $500
Ray’s Resilience Scholarship — $500

Selection does not become an individual promise or guarantee from any Scholarship Board member.

Step 5 — Document the Decision

The final decision should be recorded using the Final Scholarship Selection & Voting Record and, when applicable, the Scholarship Selection Meeting Minutes.

The record should identify the scholarship, selected recipient, award amount, decision date, participating board members, recusals, and required authorization.

Step 6 — Recipient Administration

After the selection and required authorization are complete, the recipient information may move to Recipient Administration for verification, award acceptance, notification, and payment processing.

Confidentiality

Applications, scores, board discussions, voting records, and other applicant information must remain confidential and should only be accessed by authorized individuals.

Scholarship awards are made only through the approved selection and authorization process of It’s A Family Affair.
